Select one answer per question

What is the most accurate description of where you are right now?

A
Things work, but only because the right people are around. If a key person left tomorrow, we would be in serious trouble.
B
We have tools in place but they are not connected. Half the team does not use them properly and it is slower than doing things manually.
C
I am making the right moves strategically but I have no one to pressure-test decisions with. I need a thinking partner, not another deliverable.

When something breaks in your operations, what usually happens?

A
The same person fixes it every time. Usually me, or one senior person. There is no documented process anyone else can follow.
B
It gets fixed but in a different way each time. There is no standard. Whoever is free handles it however they think is right.
C
The tools are supposed to flag it but they do not. We find out from a client, or when something else downstream breaks.

What would a good outcome look like for you, in plain terms?

A
My team executes without me involved in every decision. There is a clear process written down that anyone can follow.
B
The right tools are configured and actually being used. Data flows where it needs to without someone manually moving it.
C
I make better decisions faster. With someone who understands my business, tells me what I need to hear, and checks in regularly.

Process Design

Fix how your business
actually runs.

Most businesses are held together by institutional memory, informal habits, and the same two people solving every problem. It works until it does not. When a key person leaves, when a client base doubles, or when a new hire needs to get up to speed fast, the cracks show.

We map the workflows that actually exist, not the ones that are supposed to exist. Then we redesign them so execution is consistent, handovers are clean, and quality does not depend on who is in the room that day.

What is included
  • End to end workflow mapping. We follow the work, not the org chart.
  • Gap analysis identifying where time, money, and trust are leaking
  • Redesigned process flows with clear ownership and handover points
  • Standard Operating Procedures written in plain language your team will actually use
  • Team walkthrough and adoption support. We do not just hand over a document.
Start with process design
Best for
Businesses where key work depends on key people. Teams that cannot onboard fast. Operations running on informal knowledge and individual heroics.
Typical engagement length
4 to 8 weeks for a single workflow area. Larger transformations run 3 to 4 months.
How we work
We shadow your team, interview key people, and map what actually happens. Then we redesign with you in the room, not without you. Every deliverable is built to be used, not filed away.
Common industries
Creative agencies, professional services, architecture, construction, healthcare administration
Typical outcome
60% fewer missed deadlines. 3x faster new hire onboarding.
02
Systems Implementation

Build the infrastructure
your growth needs.

Most businesses grow into a pile of disconnected tools. Each one solves a different problem. None of them talk to each other. The result is a team that spends hours on data entry, manual reconciliation, and chasing information across five different places.

We configure and implement the operational systems that actually connect. ERPNext, built on the Frappe framework, is our primary implementation platform for SMEs that need a real business backbone. We handle module selection, configuration, data migration, and the change management that makes adoption stick.

Our approach is configuration, not development. We do not write custom code. We work entirely within ERPNext's native capabilities and configure them to match your business model precisely. That means faster delivery, lower cost, and a system your team can maintain without us.

We also configure the system to match how your team already works. The goal is not a live system. The goal is a used one. We reduce the distance between the old way and the new system so that adoption happens naturally rather than having to be enforced.

No custom code written. Ever.

What is included
  • Tool audit. We identify what you actually need versus what you already have.
  • ERPNext configuration scoped to your specific business model
  • Data migration and system integration across departments
  • Role-specific team training. Not one generic session for everyone.
  • 30 day post-launch support to fix what real usage reveals
Start with systems implementation
Best for
Businesses with 10 or more people where information does not flow cleanly between departments. Companies running on spreadsheets that are starting to break under pressure.
Typical engagement length
6 to 12 weeks for a focused ERPNext implementation. Larger multi-department rollouts run 3 to 5 months.
Our approach to ERPNext
We are not developers. We are configuration specialists. We do not write custom code. We configure ERPNext's built-in capabilities to fit your business model. That means faster delivery and systems your team can maintain themselves.
Common industries
Manufacturing, logistics, e-commerce, retail, tech companies scaling past 15 people
Typical outcome
Inventory visibility from days to hours. Manual data entry eliminated for key workflows.
03
Operations Advisory

A clear-eyed partner
for the decisions that
compound.

Some problems do not need a deliverable. They need a thinking partner who understands your business, will tell you things you do not want to hear, and shows up consistently enough to hold you accountable.

Operations Advisory is for founders and leadership teams navigating growth, leadership transitions, or strategic decisions where getting it wrong sets you back six months. We work alongside you as an embedded, long-term presence. Not above you.

What is included
  • Monthly advisory sessions structured around your agenda, not ours
  • Async availability for decisions that cannot wait until next month
  • Operational health reviews to track what is working and what is drifting
  • Decision frameworks and org design support as you scale
  • Fractional COO level support without the full-time cost or commitment
Start with advisory
Best for
Founders stepping back from day to day operations. Leadership teams facing growth transitions. Businesses preparing for investment, acquisition, or significant scale.
Typical engagement length
3 month minimum, with most engagements running 6 to 12 months. The value compounds over time. Relationships matter here.
What makes this different
Most advisors are expensive and show up once a month. We stay close to your business, speak plainly, and measure ourselves by operational outcomes. Not hours billed or slides produced.
Common use cases
Founder step-back, Series A and B prep, first leadership hire, new market entry, remote team scaling
Typical outcome
25% fewer founder-dependent decisions within 90 days.

Transparent on how
we work together.

We price based on scope and complexity, not day rates. Every engagement starts with a discovery call, and we will not propose something that is not the right fit.

Things people
ask before
they reach out.

If something is not answered here, it probably just means we would rather talk it through directly.

Still unsure whether Kuwa is the right fit? One 30 minute call is usually enough to know. For both of us.

Do you work with businesses outside Africa?
Yes. Most of our clients are based in the Americas, Europe, and the Middle East. We work fully remotely and have structured every engagement to work cleanly across time zones. Being based in Kigali does not limit who we work with. It shapes the perspective we bring.
We already have a system like Notion or Monday. Can you still help?
Yes. Having a tool is different from having a working system. Most businesses have tools. What they are missing is the process design that makes those tools useful. We often work within existing tool stacks before deciding whether anything needs replacing.
How involved does my team need to be?
More than you might expect, but less than you are worried about. We need access to the people who actually do the work, not just leadership. And we need decision-makers available at key moments. The more honest access we get, the better the result. We are not here to observe from a distance and produce a report.
What if we need all three services?
That is common and usually a good sign. It means you are ready to make real change, not just fix a surface issue. Most of our larger engagements combine Process Design and Systems Implementation, with Advisory running alongside. We will scope it together and stage the work so you are not overwhelmed or overspending at once.
How do you measure success?
We agree on success metrics before we start, not at the end. These are usually operational outcomes: reduction in turnaround time, fewer escalations to leadership, system adoption rates, onboarding speed. We would rather be held to something specific than give you a vague sense of improvement.
We are a small team. Is this too early for us?
Not necessarily. The best time to build operational infrastructure is before you need it urgently, not after things have broken. If you have 5 to 8 people and can see growth coming, a focused Process Design engagement can save you from the chaos most businesses hit at 15. We will tell you honestly in the discovery call if it is too early.
